Our public sector client is looking for an Administrator to join them for a full time contract role until January 2025. The role is hybrid in Dublin with a minimum of 1 day per week in the city centre office.

Key responsibilities:

This role offers an exciting opportunity for the Administrator to work across business areas in the National Office to support the processes and procedures underpinning a high-performing system in Ireland.

  • Acknowledging, categorising, delegating and tracking emails of a significant volume.
  • Responding to email queries from a variety of stakeholders.
  • Receipting, filing, recording voluminous documentation on shared online systems (SharePoint, database) and tools.
  • Supporting the preparation of digital meeting agendas and meeting packs.
  • Administrative support in preparing meeting outcome letters, e.g. populating address fields, for drafting post meetings.
  • Assisting with collation of meeting minutes and Committee business reports.
  • Managing pre-submission queries that range from very standard to technically complex.
  • Managing post-submission queries from applicants.
  • Delegating complex queries to relevant team members.
  • Managing the membership inbox for receipt of Expressions of Interest applications for membership and updating relevant folders and spreadsheets.
  • Managing spreadsheets used for reporting of activity, e.g. keeping application tracker spreadsheet up to date.
  • Supporting the National Office team with general office management tasks as required

Other duties may be assigned from time to time depending on need. This is a team-based role, and teamwork and coordination with others are crucial elements of the job description.

It is important to note that this is an administrative role and not a research role, however, a keen interest and general understanding of the health and research ecosystem in Ireland would be highly beneficial. .

Formal requirements include

  • NFQ Level 4 Qualification (Leaving Cert) or greater
  • High degree of computer literacy, including working knowledge and significant experience of using Microsoft Word, Excel, Outlook and experience of databases, website content management systems and/or other online information management systems.
  • At least two years relevant administrative experience in busy office environment.
  • Excellent planning and organisation skills including the ability to prioritise, ability to manage a breadth of administrative work while meeting deadlines.
  • Ability to engage with stakeholders and understand their needs.
  • Previous experience of working as part of a team.
  • Relevant experience of administrative support in healthcare, social care, education or research sectors.
